A quote turns a deal into a priced offer the customer can read, accept or decline. LetsBot builds the PDF, sends it, and tells you when the customer opens it. A quote is not an invoice: no payment is taken.
Set it up once
Open the Sales settings (CRM → Goals opens the same page) and fill in your VAT number, the default VAT rate and how many days a quote stays valid. New quotes use these values. Add your items under CRM → Products, or import them from your store.
Create a quote
- Open the deal or the customer and choose New quote, or start from CRM → Quotes.
- Add items from your products, with quantity, discount and VAT. The subtotal, discounts, taxable amount, VAT and total are calculated for you.
- Add terms and notes if needed, then save. The quote stays a draft until you send it.
The PDF is bilingual and carries a QR code in the ZATCA format (seller, VAT number, date, total and VAT).
Send it
| How | What the customer gets | Good to know |
|---|---|---|
| The PDF as one message, with a link to view and accept online | If the customer has not written in the last 24 hours, WhatsApp only allows an approved template with a document header or a link variable. Templates need an official (Cloud API) number. | |
| An e-mail with the PDF attached and a link | Check the address before sending. | |
| Link | A link you share anywhere | The quote is marked as sent and views are tracked. |
A WhatsApp message carrying a quote is billed by Meta like any other WhatsApp message, and LetsBot asks you to confirm before it sends.
Track and close
- The quote shows Viewed and the number of views; the customer’s timeline records each one.
- The customer can accept or decline online and leave a note. You are notified either way.
- A sent quote can’t be edited. Duplicate it to send an updated version.
Tip: an automation can create a follow-up task as soon as a quote is opened — while the customer is still thinking about it.
